Everything you need to read, search, and understand the live ballot dashboard.
The dashboard is your live view of the leave ballot. It shows every week of the year, who has applied, who has been allocated, and how many slots remain.
Each week is a card showing the date range, week number (e.g., 2027-W10), and total slots. Holiday weeks have an emoji.
Weeks with extra slots (e.g., public holidays) show a ⏫ next to the slot count. These have higher capacity than the default 13 slots.
Before the draw, shows Ballot entries: X / Y. If X > Y, the week is oversubscribed (more demand than slots).
After the draw, shows Remaining slots: X / Y. This is the number of slots left after allocations.
Type any employee initials (e.g., JOH or SM) into the search bar to filter all week cards. Only weeks containing that staff member will appear.
Click Clear to reset the search and show all weeks again.
In the Draw Decisions section, search by initials to find a specific staff member's allocation decisions for any week.
In the Staff Below 4‑Week Target section, search for a specific staff member to see how many weeks they still need.
Staff who received their requested week. Shows their initials, modality, and priority (P1, P2, or Bonus).
Staff who requested this week but did not get it. Reasons: slots filled, modality cap reached, or conflict.
Staff in the reballot process for this week. They didn't get enough weeks in the first draw.
Staff with other approved leave (ML, MRL, RL, HL, PL) already booked. These reduce available slots.
Shows how many staff have submitted their ballot out of the total department headcount.
Displays the weeks with the most staff requests. Use this to understand demand across the year.
Shows how many staff received 0, 1, 2, 3, or 4 weeks of leave in the draw. The target is 4 weeks per staff.
Weeks where demand exceeds available slots. These are highlighted in the counter and analytics.
This section lists all staff who have fewer than 4 weeks allocated after the first draw. It shows exactly how many weeks each person is still missing.
The admin panel (⚙️) is only visible to authorised administrators. It includes tools for running draws, managing override slots, adding other leave types, and exporting data.
